Job Description

Hiring.zycto is seeking a dedicated and enthusiastic Dental Receptionist to be the welcoming face and organisational backbone of our busy Chilwell clinic. This pivotal role is far more than just administrative; you are the first point of contact for our patients, setting the tone for their entire visit and ensuring a seamless, positive experience from start to finish. As our Dental Receptionist, you will play a crucial part in the smooth daily operations of our practice. You’ll manage patient appointments efficiently, handle enquiries with professionalism and empathy, and maintain accurate patient records with meticulous attention to detail. Your ability to multitask, prioritise, and remain calm under pressure will be essential in our dynamic environment. You will work closely with our dentists, hygienists, and dental nurses, supporting the clinical team by ensuring their schedules run on time and that all necessary patient information is readily available. Key Responsibilities

  • Warmly greet patients and visitors, managing their arrival and departure processes.
  • Schedule and confirm appointments efficiently, optimising the daily clinical diary for all practitioners.
  • Handle incoming calls, emails, and general enquiries with professionalism and a helpful demeanour.
  • Manage patient registration, update records, and ensure all necessary documentation is completed accurately and confidentially.
  • Process patient payments, manage billing queries, and accurately reconcile daily transactions.
  • Maintain the reception area, ensuring it is tidy, welcoming, and presentable at all times, adhering to infection control protocols.
  • Liaise effectively with clinical staff to ensure seamless patient flow and address any scheduling conflicts promptly.
  • Support administrative tasks such as ordering clinical and office supplies, managing incoming and outgoing post, and preparing patient correspondence.
  • Provide clear explanations of treatment plans and associated costs to patients, ensuring transparency and understanding.
  • Adhere strictly to practice policies, data protection regulations (GDPR), and health and safety guidelines, maintaining patient confidentiality at all times.

Required Skills

  • Proven experience (minimum 1 year) in a customer service or reception role, ideally within a healthcare or dental setting.
  • Exceptional verbal and written communication skills with a clear and professional telephone manner.
  • Strong organisational abilities with excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with learning new software.
  • Ability to multitask, prioritise tasks effectively, and manage time efficiently in a fast-paced environment.
  • A compassionate, empathetic, and patient-focused approach to service delivery.
  • Reliable, punctual, and a strong team player committed to supporting colleagues and contributing positively to the practice culture.

Preferred Qualifications

  • Previous experience with dental practice management software (e.g., SOE Exact, Dentally, R4).
  • Knowledge of dental terminology, procedures, and basic understanding of NHS dental services.
  • Basic understanding of CQC (Care Quality Commission) regulations and their relevance to a dental practice.
  • First Aid certification or willingness to undertake training.
