Job Description

We are seeking a highly motivated and personable Dental Receptionist to join a busy and friendly dental practice in Heaton Moor, Manchester. This is an immediate hire opportunity for an individual who thrives in a fast-paced environment and possesses a genuine passion for providing excellent patient service. As the first point of contact for our patients, your role is crucial in creating a positive and welcoming atmosphere. Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner, ensuring a positive first impression.
  • Manage the reception area, keeping it tidy and presentable.
  • Answer telephone calls promptly and courteously, dealing with inquiries and directing calls appropriately.
  • Schedule and confirm patient appointments, manage the appointment book efficiently to optimise clinic flow.
  • Register new patients, update existing patient records, and ensure all patient data is accurate and confidential.
  • Process patient payments, manage billing inquiries, and handle petty cash.
  • Liaise with dentists, hygienists, and other team members to ensure smooth patient journeys.
  • Handle patient complaints and concerns with empathy and professionalism, escalating when necessary.
  • Manage incoming and outgoing post and emails.
  • Maintain stock of office supplies and notify management when reordering is necessary.
  • Ensure compliance with CQC regulations and practice policies regarding patient confidentiality and data protection.

Required Skills

  • Proven experience as a Dental Receptionist or in a similar administrative role within a healthcare setting (18 months minimum).
  • Excellent verbal and written communication skills.
  • Proficiency in dental software (e.g., SOE Exact, Dentally) and Microsoft Office Suite.
  • Strong organisational and multitasking abilities with high attention to detail.
  • A compassionate and empathetic approach to patient care.
  • Ability to work effectively under pressure and manage time efficiently.
  • Exceptional customer service skills and a positive attitude.

Preferred Qualifications

  • NVQ Level 2 or 3 in Business Administration or Customer Service.
  • Knowledge of dental terminology and procedures.
  • First Aid certification.
  • Experience with CQC regulations and compliance.
