Job Description
Hiring.zycto is seeking a highly motivated and meticulously organized Donation Coordinator to manage our warehouse operations in South Granville, Vancouver. This crucial role is at the heart of our mission, ensuring the efficient intake, processing, storage, and distribution of all donated goods. As the Donation Coordinator, you will be the cornerstone of our donation lifecycle, from the moment items arrive at our facility to their dispatch for community programs or sale.
Your primary responsibilities will involve overseeing daily warehouse activities, including receiving and sorting various types of donations, meticulously tracking inventory, and maintaining an orderly and safe working environment. You will be responsible for coordinating with donors, scheduling pick-ups and drop-offs, and ensuring a positive and respectful experience for everyone involved. This role requires a hands-on approach, strong logistical acumen, and the ability to work independently while also collaborating effectively with a small, dedicated team and volunteers.
Beyond the physical aspects, the Donation Coordinator will play a vital role in our administrative processes, accurately recording donation data, generating reports, and contributing to continuous improvement initiatives. Key Responsibilities
- Receive, sort, and process incoming donations with accuracy and efficiency.
- Maintain a clean, organized, and safe warehouse environment in compliance with all safety regulations.
- Manage inventory levels, conducting regular stock counts and ensuring proper storage and rotation of goods.
- Coordinate donation pick-ups and drop-offs, liaising directly with donors and ensuring exceptional service.
- Utilize database systems for accurate tracking of donations, donor information, and inventory movements.
- Oversee and guide volunteers in sorting, organizing, and preparing donations for distribution or sale.
- Prepare outgoing shipments and deliveries, ensuring items are correctly packaged and documented.
- Operate warehouse equipment safely, such as pallet jacks or forklifts (if certified).
- Identify and report any maintenance needs or safety hazards within the warehouse.
- Collaborate with internal teams to ensure seamless flow of donations to various programs and initiatives.
Required Skills
- Minimum 2 years of experience in a warehouse, logistics, or donation management role.
- Proven ability to organize, prioritize, and manage multiple tasks in a fast-paced environment.
- Strong attention to detail and accuracy in inventory management and record-keeping.
- Excellent communication and interpersonal skills for interacting with donors, volunteers, and staff.
- Proficiency with inventory management software and Microsoft Office Suite (Excel, Word).
- Ability to lift and move heavy objects (up to 50 lbs) and stand for extended periods.
- Valid Class 5 British Columbia driver's license with a clean driving record.
- Commitment to maintaining a safe and respectful working environment.
Preferred Qualifications
- Forklift certification or ability to obtain one.
- Experience working with non-profit organizations or community-based initiatives.
- Familiarity with South Granville, Vancouver area and local logistics.
- Bilingualism (English and a second language relevant to Vancouver's diverse population).
