Job Description

As an Escrow Officer – Professional, you will be the cornerstone of complex financial transactions, ensuring their seamless, compliant, and timely execution. You will be responsible for preparing and interpreting escrow instructions, meticulously managing funds, ensuring all conditions of the escrow are met, and maintaining clear, transparent communication with all parties involved, including buyers, sellers, lenders, real estate agents, and legal counsel. Key Responsibilities

  • Manage a portfolio of escrow transactions from opening to closing, ensuring accuracy and timeliness.
  • Prepare, review, and interpret complex escrow instructions and legal documents.
  • Maintain accurate escrow ledgers, reconcile accounts, and disburse funds according to instructions and regulations.
  • Communicate proactively and professionally with all transaction parties (buyers, sellers, agents, lenders, attorneys).
  • Conduct thorough title examinations and coordinate the clearance of any title issues or encumbrances.
  • Ensure strict compliance with all relevant real estate laws, regulations, and company policies.
  • Calculate and prepare detailed settlement statements (CDs, HUD-1s) and other closing documents.
  • Identify and proactively resolve potential problems, discrepancies, or issues in a timely manner.
  • Maintain confidentiality and security of all client information and sensitive transaction details.
  • Oversee the proper processing and recording of documents with appropriate governmental agencies.

Required Skills

  • Proven experience (minimum 4 years) as an Escrow Officer, Conveyancer, or similar role in real estate/financial services.
  • In-depth knowledge of real estate principles, escrow regulations, and title insurance processes.
  • Strong understanding and ability to interpret legal documents related to property transfers and financing.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in escrow software, title software, and Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills with a professional demeanor.
  • Ability to manage multiple transactions simultaneously under tight deadlines and pressure.
  • High level of integrity, professional ethics, and client-centric approach.

Preferred Qualifications

  • Relevant industry certifications (e.g., Notary Public, specific escrow licensing if applicable).
  • Bachelor's degree in Business, Finance, Real Estate, or a related field.
  • Experience with both residential and commercial escrow transactions.
  • Demonstrated problem-solving abilities and a proactive, solution-oriented approach to challenges.
  • Fluency in additional languages (an asset in a diverse city like Calgary).
