Job Description

Hiring.zycto is seeking a dedicated and passionate Event Coordinator to join our team, focusing specifically on our charity and fundraising initiatives. In this role, you will manage the entire event lifecycle, from initial concept development and strategic planning to flawless execution and comprehensive post-event analysis. You will be responsible for crafting detailed event proposals, managing budgets meticulously, and securing sponsorships that maximize impact. A key aspect of your work will involve collaborating closely with internal teams, including marketing, communications, and volunteer departments, to ensure cohesive messaging and robust participation. Key Responsibilities

  • Design, plan, and execute a diverse range of charity fundraising events, including galas, walks/runs, online campaigns, and community engagement activities.
  • Develop detailed event proposals, project plans, timelines, and budgets, ensuring all financial targets are met or exceeded.
  • Identify, solicit, and manage relationships with sponsors, donors, vendors, and community partners.
  • Coordinate all logistical aspects of events, including venue selection, catering, entertainment, audiovisual needs, registration, and transportation.
  • Recruit, train, and supervise event volunteers, ensuring a positive and effective experience for all involved.
  • Collaborate with the marketing and communications teams to develop promotional materials, press releases, social media content, and communication strategies for events.
  • Manage event registration systems, attendee lists, and follow-up communications.
  • Conduct thorough post-event evaluations, including financial reconciliation, attendee feedback analysis, and comprehensive reporting on outcomes and ROI.
  • Ensure all events comply with safety regulations, local bylaws, and organizational policies.
  • Research and recommend new event opportunities and fundraising strategies to continually enhance our charitable impact.

Required Skills

  • Minimum 2 years of experience in event planning, coordination, or management, preferably within the non-profit or charity sector.
  • Demonstrated ability to manage complex projects, multiple priorities, and tight deadlines.
  • Proficiency in budget management and financial reporting for events.
  • Exceptional verbal and written communication skills.
  • Strong negotiation and vendor management abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Proven track record of successful fundraising event execution.

Preferred Qualifications

  • Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
  • Experience with CRM software (e.g., Salesforce, Raiser's Edge) and donor databases.
  • Familiarity with graphic design tools (e.g., Canva, Adobe Creative Suite) for creating promotional materials.
  • Experience with virtual and hybrid event platforms.
  • Knowledge of current fundraising trends and best practices.
