Key Responsibilities

  • Assist senior event managers with various administrative tasks, including scheduling meetings, preparing presentations, and managing correspondence.
  • Conduct thorough research on potential venues, diverse vendors, reliable suppliers, and engaging entertainment options that precisely align with event objectives and budgetary constraints.
  • Support the creation and strategic distribution of compelling event promotional materials, including custom invitations, informative brochures, and dynamic digital content, consistently ensuring brand consistency and adherence to guidelines.
  • Coordinate all logistical arrangements, such as securing catering services, managing audiovisual equipment setups, organizing transportation, and arranging comfortable accommodation for attendees and distinguished speakers.
  • Manage comprehensive guest lists and process RSVPs meticulously, providing timely updates to stakeholders and assisting with efficient attendee registration processes, both online and on-site.
  • Serve as crucial on-site support during live events, actively assisting with setup procedures, managing registration desks, addressing attendee inquiries promptly, and overseeing breakdown operations, ensuring a smooth and seamless operational flow from start to finish.
  • Help in managing event budgets diligently, tracking all expenses accurately, processing invoices, and assisting with comprehensive post-event financial reconciliation.
  • Contribute to valuable post-event evaluation activities, including systematically collecting feedback from various sources, preparing insightful reports, and proactively suggesting concrete improvements for future events.
  • Maintain impeccably organized event files, comprehensive databases, and accessible resource libraries, ensuring all critical documentation is accurate, up-to-date, and easily retrievable.
  • Collaborate effectively and synergistically with internal teams and external stakeholders to ensure all event components are perfectly aligned and executed flawlessly, meeting all expectations.

Required Skills

  • Excellent organizational skills and attention to detail
  • Strong verbal and written communication skills in English (C1/C2)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work effectively in a fast-paced, dynamic environment
  • Strong problem-solving abilities and a proactive attitude
  • Genuine passion for the events industry and a willingness to learn

Preferred Qualifications

  • Bachelor's degree or diploma in Event Management, Hospitality, Marketing, or a related field
  • Fluency or advanced proficiency in Italian (B2/C1)
  • Previous experience (even voluntary) in event support or coordination
  • Familiarity with event management software or CRM systems
  • Creative thinking and ability to contribute innovative ideas
