Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and conferences.
  • Coordinate extensive domestic and international travel logistics, including itineraries and bookings.
  • Prepare and submit detailed expense reports, ensuring accuracy and compliance.
  • Draft, proofread, and edit correspondence, presentations, and other documents.
  • Organize and maintain confidential files and records, both physical and digital.
  • Act as a primary point of contact for internal and external stakeholders.
  • Assist in the preparation of board meetings, executive reports, and strategic planning sessions.
  • Conduct research and compile data to support executive decision-making.
  • Handle confidential information with discretion and integrity.
  • Oversee office management tasks and procurement of supplies as needed for the executive office.

Required Skills

  • Minimum 3 years of experience as an Executive Assistant supporting senior-level executives.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Strong written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive problem-solving and decision-making capabilities.
  • Ability to anticipate needs and act autonomously.
  • High attention to detail and accuracy.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working in a fast-paced professional services or corporate environment.
  • Familiarity with CRM systems or project management software.
  • Experience with international travel arrangements and multi-time zone scheduling.
  • Proven ability to manage multiple projects simultaneously.
