Your role will encompass a wide range of responsibilities, from coordinating essential preventative and reactive maintenance and managing key vendor relationships for services like cleaning, security, and utilities, to overseeing office supplies inventory and ensuring strict compliance with health and safety standards. You will be the first point of contact for facility-related inquiries, ensuring timely and effective resolutions.

Key Responsibilities

  • Coordinate and oversee all aspects of office facility maintenance, including preventative and reactive tasks.
  • Manage relationships with external vendors, contractors, and service providers (e.g., cleaning, security, HVAC, repairs).
  • Ensure the office environment adheres to all health, safety, and environmental regulations and company policies.
  • Manage inventory and procurement of office supplies, equipment, and furniture.
  • Act as the primary point of contact for all facility-related inquiries and issues from staff.
  • Assist with space planning, office moves, and new employee onboarding logistics related to workstations.
  • Maintain accurate records of facility-related expenses, contracts, and service agreements.
  • Support the planning and execution of internal company events and meetings, providing logistical assistance.

Required Skills

  • Minimum 3 years of experience in a facility coordination, office management, or administrative role.
  • Demonstrated strong organizational and time management skills.
  • Excellent communication and interpersonal abilities, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to prioritize tasks, manage multiple projects, and work effectively under pressure.
  • Strong problem-solving skills and a proactive approach to issue resolution.

Preferred Qualifications

  • Post-secondary education in Business Administration, Facilities Management, or a related field.
  • Experience with facility management software or ticketing systems.
  • Knowledge of local health and safety regulations (e.g., WorkSafeBC).
  • Certification in facility management (e.g., FMP, CFM) is an asset.
