Key Responsibilities
- Assist financial advisors with a variety of administrative tasks, including scheduling appointments, preparing comprehensive meeting materials, and managing client correspondence.
- Process client service requests diligently, such as account updates, fund transfers, and information inquiries, ensuring accuracy and strict adherence to compliance standards.
- Maintain and organize client files and electronic databases with precision, ensuring all documentation is current, confidential, and easily accessible to authorized personnel.
- Prepare and compile essential reports, engaging presentations, and other financial documents as required by advisors and senior management.
- Act as a primary point of contact for clients, providing courteous, professional assistance, and effectively directing complex queries to the appropriate financial advisor.
- Support the onboarding process for new clients by assisting with application processing, documentation gathering, and initial client data entry.
- Stay informed about industry regulations, company policies, and best practices to ensure all activities are fully compliant and ethical.
- Collaborate effectively with team members to ensure smooth workflow, efficient office operations, and a positive team environment.
- Proactively identify opportunities for process improvement and contribute innovative ideas to enhance team efficiency and client service.
- Manage office supplies and equipment to ensure a functional and well-resourced workspace.
Required Skills
- Exceptional organizational skills and meticulous attention to detail.
- Strong verbal and written communication skills in both English and French (bilingualism is a significant asset in Montreal).
