Key Responsibilities

  • Assist lawyers and paralegals with document preparation, including drafting letters, memos, and basic legal forms.
  • Organize and maintain physical and electronic client files, ensuring accuracy and confidentiality.
  • Manage scheduling, coordinate meetings, and arrange appointments for legal professionals.
  • Conduct basic legal research under supervision, using online databases and other resources.
  • Handle incoming and outgoing correspondence, including mail, email, and faxes.
  • Prepare and process invoices, expense reports, and other administrative tasks.
  • Communicate professionally with clients, court staff, and other external parties.
  • Provide general administrative support to the legal team as required.

Required Skills

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • A proactive attitude and willingness to learn.
  • Ability to work independently and as part of a team.
  • Discretion and ability to handle confidential information.

Preferred Qualifications

  • Completion of a legal administrative assistant program or related post-secondary education.
  • Familiarity with legal terminology and procedures (can be from coursework).
  • Experience with legal case management software (e.g., Clio, MyCase) is a plus.
  • Bilingualism (English and French) is considered an asset.
