Hiring.zycto is actively seeking a highly skilled and experienced Legal Secretary to join our dynamic team in Kirkendall, Hamilton. This pivotal role requires an individual with a proven track record of providing comprehensive administrative and secretarial support to legal professionals within a fast-paced environment. As an Experienced Legal Secretary, you will be the cornerstone of our legal support system, responsible for a diverse array of tasks that demand exceptional organizational skills, meticulous attention to detail, and a deep understanding of legal procedures. Your primary duties will involve preparing, reviewing, and formatting a wide range of legal documents, including pleadings, motions, agreements, and correspondence, ensuring absolute accuracy and adherence to specific legal formatting standards. You will manage and maintain complex case files, both physical and electronic, ensuring all documentation is systematically organized, up-to-date, and readily accessible.

This role also involves significant client interaction, requiring a professional and empathetic approach when fielding calls, scheduling appointments, and assisting with inquiries. You will manage calendars, coordinate meetings, and arrange travel logistics for our legal team, optimizing their schedules and ensuring timely compliance with deadlines. Key Responsibilities

  • Prepare, proofread, and format a variety of legal documents, including pleadings, motions, contracts, and correspondence, ensuring accuracy and adherence to legal standards.
  • Manage and maintain complex legal files, both physical and electronic, ensuring organized, up-to-date, and confidential record-keeping.
  • Schedule appointments, manage calendars, coordinate meetings, and arrange travel for legal professionals, optimizing their time and productivity.
  • Serve as a primary point of contact for clients, answering calls, assisting with inquiries, and directing communications with professionalism and discretion.
  • Process and file legal documents with various courts and administrative bodies, adhering strictly to deadlines and procedural rules.
  • Handle billing, invoicing, and expense reports, ensuring accurate record-keeping and timely processing.
  • Conduct basic legal research as requested and compile information for legal documents.

Required Skills

  • Minimum 4 years of experience as a Legal Secretary or in a similar legal support role.
  • Proficiency in legal terminology, procedures, and documentation.
  • Expert-level command of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Superior written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Legal Office Administration Diploma or Certificate from a recognized institution.
  • Experience with legal practice management software (e.g., Clio, MyCase).
  • Familiarity with local court rules and e-filing systems in Ontario.
  • Bilingualism (English and French) is an asset.
