Key Responsibilities
- Manage and coordinate patient appointment scheduling, cancellations, and reschedules efficiently using our online booking system.
- Handle incoming patient inquiries via phone and email, providing professional and compassionate assistance.
- Maintain accurate and confidential electronic health records (EHR), ensuring compliance with privacy regulations (e.g., PHIPA, HIPAA).
- Process patient registrations, update demographics, and verify insurance information.
- Prepare and process medical documentation, referrals, and diagnostic test requisitions.
- Coordinate virtual consultations and tele-health appointments, including sending reminders and ensuring patients have necessary access.
- Assist with billing inquiries and payment processing, as required.
- Liaise with medical staff, pharmacies, and other healthcare providers to facilitate patient care.
- Support general administrative tasks to ensure the smooth operation of the virtual office.
- Adhere strictly to all company policies, procedures, and ethical guidelines.
Required Skills
- Minimum 2 years of experience as a Medical Office Administrator or similar role.
- Proficiency with Electronic Health Records (EHR) systems (e.g., Accuro, Telus Health EMR, OscarPRN).
- Excellent verbal and written communication skills in English.
- Strong organizational and time management abilities.
- Ability to work independently and as part of a remote team.
- High level of discretion and understanding of patient confidentiality (PHIPA/HIPAA).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
