Key Responsibilities

  • Manage patient scheduling, appointments, and cancellations with precision and a friendly demeanor.
  • Greet patients, verify insurance information, and process necessary paperwork upon arrival.
  • Maintain and update electronic medical records (EMR) system with accuracy and strict confidentiality.
  • Handle incoming calls, direct inquiries appropriately, and provide information to patients and external contacts.
  • Assist with medical billing processes, including charge entry, claims submission, and payment posting.
  • Coordinate referrals to specialists and facilitate communication between different healthcare providers.
  • Manage office supplies inventory, ensuring adequate stock levels and placing orders as needed.
  • Process incoming and outgoing mail, faxes, and electronic communications.
  • Ensure the reception and waiting areas are tidy, welcoming, and compliant with health and safety standards.
  • Support clinical staff with administrative tasks, allowing them to focus on patient care.

Required Skills

  • Minimum 1 year of experience in a medical office or healthcare administrative role.
  • Proficiency with Electronic Medical Records (EMR) systems (e.g., Epic, Cerner, eClinicalWorks).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Understanding of medical terminology and billing procedures (CPT, ICD-10).

Preferred Qualifications

  • Associate’s degree or certification in Medical Office Administration, Healthcare Management, or a related field.
  • Experience with insurance verification and prior authorizations.
  • Familiarity with HIPAA regulations and patient privacy guidelines.
