Key Responsibilities

  • Manage and maintain complex patient scheduling for multiple healthcare providers using Electronic Medical Records (EMR) systems.
  • Schedule, reschedule, and cancel patient appointments in accordance with clinic policies and provider availability.
  • Communicate effectively with patients via phone and email to confirm appointments, provide instructions, and answer scheduling-related inquiries.
  • Verify patient insurance information and ensure all necessary pre-authorizations or referrals are in place prior to appointments.
  • Coordinate with clinical staff to accommodate urgent appointments or resolve scheduling conflicts.
  • Maintain strict patient confidentiality and adhere to all HIPAA/PHIPA regulations.
  • Accurately document all scheduling interactions and patient information in the EMR system.
  • Provide exceptional customer service, addressing patient concerns with empathy and professionalism.
  • Assist with other administrative tasks as needed to support efficient clinic operations.
  • Proactively identify and address potential scheduling issues to minimize wait times and optimize clinic flow.

Required Skills

  • Minimum 2 years of experience in medical scheduling or medical office administration.
  • Proficiency with Electronic Medical Records (EMR) systems (e.g., Accuro, Telus Health, Oscar EMR).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Exceptional attention to detail and accuracy.
  • Proven ability to work independently and manage a remote workload effectively.
  • High-level customer service skills with a compassionate approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
