Job Description

Hiring.zycto is seeking a meticulous and client-focused Mortgage Advisor – Client Support & Documentation to join our thriving team in Leith, Edinburgh. In this pivotal role, you will be the backbone of our client’s mortgage application journey, ensuring a seamless and efficient process from initial enquiry through to completion. This isn’t a direct sales role; rather, it’s an opportunity to leverage your mortgage knowledge to provide exceptional administrative and support functions, ensuring all documentation is accurate, compliant, and submitted promptly. You will work closely with our Senior Mortgage Advisors and clients, acting as a crucial point of contact for updates, queries, and gathering necessary paperwork. Your attention to detail will be paramount in reviewing application forms, income proofs, identification documents, and other crucial paperwork, identifying any discrepancies or missing information before submission to lenders.

This position requires someone with a solid understanding of the mortgage application lifecycle, a commitment to regulatory compliance, and an unwavering dedication to outstanding client service. You’ll be instrumental in preparing mortgage files, updating CRM systems with real-time progress, and communicating effectively with all stakeholders – clients, lenders, solicitors, and internal teams. We are looking for an individual who is not only proficient in documentation management but also possesses excellent interpersonal skills to guide clients through what can often be a complex and stressful process. Key Responsibilities

  • Manage and meticulously review all client documentation, including application forms, income proofs, bank statements, and identification, for accuracy and completeness.
  • Act as a primary point of contact for clients, providing regular updates on their mortgage application status and addressing queries promptly and professionally.
  • Prepare comprehensive mortgage files for submission to lenders, ensuring adherence to all regulatory and internal compliance standards.
  • Liaise effectively with lenders, solicitors, and other third parties to chase documentation, clarify requirements, and resolve any issues that may arise.
  • Maintain accurate and up-to-date client records and progress notes within the company's CRM system.
  • Assist Senior Mortgage Advisors with administrative tasks, preparing client summaries, and scheduling appointments.
  • Identify potential issues or roadblocks in the application process and proactively work towards solutions.
  • Ensure all post-submission documentation and follow-up actions are completed in a timely manner.
  • Educate clients on the documentation required and the stages of the mortgage application process.

Required Skills

  • Minimum of 2 years of experience in a mortgage administration, client support, or para-planning role within the financial services industry.
  • Strong understanding of the mortgage application process, products, and regulatory requirements (e.g., FCA, MCOB).
  • Exceptional attention to detail and accuracy in document management.
  • Excellent written and verbal communication skills.
  • Proficiency in using CRM systems and Microsoft Office Suite (Word, Excel, Outlook).
  • Proven ability to manage multiple tasks and prioritise workload effectively in a fast-paced environment.
  • Strong client service orientation with a professional and empathetic approach.

Preferred Qualifications

  • CeMAP (Certificate in Mortgage Advice and Practice) qualification or equivalent.
  • Experience working with a range of different mortgage lenders.
  • Familiarity with financial crime prevention and anti-money laundering (AML) regulations.
  • Prior experience in a client-facing role within a regulated environment.
