Key Responsibilities
- Assist with the administration and management of our music catalog, including metadata entry, verification, and updating databases.
- Prepare and meticulously process publishing agreements, licenses, and other legal documents, ensuring accuracy, completeness, and compliance with industry standards.
- Handle incoming correspondence and inquiries related to song registrations, copyright ownership, and licensing requests from various stakeholders.
- Support royalty tracking and reporting processes, including data compilation, statement preparation, and reconciliation for accuracy.
- Conduct thorough research on copyright ownership, performing rights organizations (PROs), mechanical rights organizations (MROs), and global music usage trends.
- Coordinate seamlessly with songwriters, artists, and internal departments (A&R, Legal, Licensing) to gather necessary information, secure approvals, and ensure timely execution of tasks.
- Maintain highly organized digital and physical filing systems for contracts, registrations, correspondence, and other vital publishing documents.
- Assist with scheduling meetings, preparing comprehensive presentations, and taking accurate, actionable notes during discussions.
- Monitor industry news, legislative changes, and emerging trends relevant to music publishing and copyright law to keep the team informed.
- Perform general administrative duties, including data entry, answering phones, and managing office supplies, to support the overall efficiency of the publishing team.

- Familiarity with music publishing software or databases (e.g., Counterpoint, Curve, or advanced Excel for catalog management).
- Knowledge of performing rights organizations (PROs) such as ASCAP, BMI, SESAC, and their operational functions.
- Prior experience with contract review, legal document preparation, or intellectual property administration.
