Job Description

We are seeking an exceptionally organized, proactive, and experienced Office Manager to be the operational heart of our Westhill office. This pivotal role requires a dynamic individual capable of overseeing the smooth day-to-day functioning of our office environment, providing comprehensive administrative support, and acting as a central point for staff and operational queries. Key Responsibilities

  • Manage all aspects of office administration, including supplies, equipment maintenance, vendor relations, and mail distribution.
  • Oversee facilities management, ensuring a safe, clean, and functional work environment.
  • Coordinate new employee onboarding logistics, including workstation setup, access provision, and initial introductions.
  • Provide administrative support to senior management and various departments as needed, including scheduling, meeting coordination, and document preparation.
  • Manage internal communications, including announcements, policy updates, and staff newsletters.
  • Assist with HR-related administrative tasks, such as maintaining employee records, coordinating training, and supporting recruitment efforts.
  • Develop and implement office policies and procedures to ensure efficiency and compliance.
  • Act as the primary point of contact for external visitors, clients, and internal staff for general inquiries.
  • Monitor and manage office budget for supplies, services, and minor repairs.
  • Organize company events, meetings, and team-building activities.
  • Ensure compliance with health and safety regulations within the office premises.

Required Skills

  • Proven experience as an Office Manager or in a similar administrative leadership role (minimum 3 years)
  • Exceptional organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong verbal and written communication abilities
  • Ability to multitask and prioritize work effectively in a fast-paced environment
