Key Responsibilities
- Greet and check-in patients warmly, verifying appointments and updating necessary information.
- Manage patient scheduling, including booking, rescheduling, and confirming appointments efficiently.
- Maintain accurate and confidential patient records, ensuring all documentation is complete and accessible.
- Act as a primary point of contact for patient inquiries, providing clear information and compassionate assistance.
- Coordinate with nurses, doctors, and other medical staff to ensure seamless patient flow and communication.
- Process patient registrations, insurance verifications, and manage billing inquiries.
- Prepare examination rooms and ensure all necessary supplies are stocked and readily available.
- Handle incoming calls, emails, and correspondence, directing them to the appropriate department or individual.
- Assist with basic administrative tasks, including filing, scanning, and data entry.
- Monitor waiting areas, ensuring cleanliness and comfort for patients and visitors.
- Provide emotional support and reassurance to patients, especially those who may be anxious or distressed.
- Adhere strictly to all privacy regulations (e.g., PHIPA, HIPAA) and facility policies.
Required Skills
- Minimum 1-2 years of experience in a patient-facing administrative or support role, preferably within a healthcare setting.
- Exceptional interpersonal and communication skills, both verbal and written.
- Proficiency in medical office software and electronic health records (EHR) systems.
- Strong organizational skills with the ability to multitask and prioritize effectively in a busy environment.
- Demonstrated empathy, patience, and a compassionate approach to patient care.
- High level of professionalism and discretion when handling sensitive patient information.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively as part of a team.
- A strong sense of responsibility and attention to detail.
Preferred Qualifications
- Post-secondary education in Medical Office Administration, Healthcare Management, or a related field.
- Familiarity with local healthcare regulations and standards in Ontario.
- Experience with a specific EHR system used in our facility (e.g., OSCAR, Telus Health EMR).
- First Aid and CPR certification.
- Bilingualism (English and another language commonly spoken in Toronto) is an asset.
