Job Description

Hiring.zycto is seeking a highly organised, proactive, and discreet Personal Assistant to provide comprehensive diary and travel management support to our executive team. Based in our vibrant Hoylake Promenade office, this role is pivotal in ensuring the smooth and efficient running of daily operations for our leadership. You will be responsible for managing complex calendars, coordinating intricate national and international travel itineraries, and providing executive-level administrative support that allows our senior team to focus on strategic initiatives. Key Responsibilities

  • Manage and maintain complex executive calendars, scheduling appointments, meetings, and conferences with meticulous attention to detail.
  • Arrange comprehensive national and international travel itineraries, including flights, accommodations, ground transportation, and visa requirements.
  • Prepare detailed travel packs, including itineraries, confirmation numbers, necessary documents, and local information.
  • Process expense reports and manage petty cash, ensuring accuracy and timely submission.
  • Act as a primary point of contact and gatekeeper, fielding calls and emails, and managing correspondence with professionalism.
  • Organise and prepare for meetings, including agenda preparation, minute-taking, and distribution of materials.
  • Handle confidential information with utmost discretion and integrity.
  • Anticipate executive needs and proactively address potential issues or conflicts.
  • Assist with general administrative tasks as required to support the executive team.
  • Build and maintain strong working relationships with internal and external stakeholders.

Required Skills

  • Proven experience as a Personal Assistant or Executive Assistant, specifically with diary and travel management.
  • Exceptional organisational and time management skills, with the ability to prioritise effectively under pressure.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Strong problem-solving abilities and a proactive approach to work.
  • Ability to work independently and as part of a team.
  • A keen eye for detail and accuracy.

Preferred Qualifications
