Job Description

Hiring.zycto is seeking an exceptional and highly organised Personal Assistant with a keen focus on Diary & Travel management to support our senior executives in Hoylake, Liverpool. This pivotal role requires a proactive individual who can anticipate needs, manage complex schedules with precision, and ensure seamless domestic and international travel arrangements. You will be the linchpin in ensuring our leadership team operates efficiently, allowing them to focus on core strategic objectives without administrative distraction.

As our Personal Assistant, you will be entrusted with the critical responsibility of managing dynamic calendars, coordinating high-level meetings across multiple time zones, and expertly handling all aspects of travel logistics. From booking flights, hotels, and ground transportation to preparing comprehensive itineraries and managing associated expenses, your meticulous attention to detail will be paramount. Key Responsibilities

  • Comprehensive management of complex diaries and calendars for senior executives, including scheduling appointments, meetings, and conferences across various time zones.
  • Proactive planning and coordination of all domestic and international travel arrangements, including flights, accommodation, visas, ground transportation, and detailed itineraries.
  • Processing and reconciling expense reports related to travel and executive activities.
  • Acting as a primary point of contact, screening calls, managing correspondence, and handling inquiries with professionalism and discretion.
  • Preparing documents, presentations, and reports, ensuring accuracy and adherence to deadlines.
  • Organising and preparing for meetings, including agenda setting, minute-taking, and follow-up on action items.
  • Maintaining highly confidential information and records with the utmost integrity.
  • Assisting with personal tasks as required to support executive efficiency.
  • Anticipating needs and proactively addressing potential issues before they arise.

Required Skills

  • Proven experience as a Personal Assistant or Executive Assistant, specifically managing complex diaries and extensive travel.
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong verbal and written communication skills with impeccable attention to detail.
  • High level of discretion and ability to handle confidential information with integrity.
  • Proactive and self-motivated with a strong problem-solving aptitude.
  • Ability to work effectively under pressure and adapt to changing priorities.

Preferred Qualifications

  • Relevant PA/Secretarial qualification or certification.
