Key Responsibilities

  • Process purchase requisitions and convert them into purchase orders accurately and efficiently.
  • Liaise with suppliers to obtain quotes, negotiate pricing, and ensure timely delivery of goods and services.
  • Monitor order status, track shipments, and communicate updates to relevant internal stakeholders.
  • Resolve any discrepancies with orders, invoices, or deliveries in a timely and professional manner.
  • Maintain and update supplier databases, ensuring all information is accurate and current.
  • Assist in supplier performance evaluations and contract management where required.
  • Collaborate with inventory management to ensure optimal stock levels and minimise waste.
  • Prepare procurement reports and provide analysis on spending patterns and supplier performance.
  • Adhere to company procurement policies, procedures, and ethical guidelines.
  • Support the wider procurement team with administrative tasks and project-based work.

Required Skills

  • Proven experience in a procurement, purchasing, or administrative role.
  • Strong organisational and time management skills with the ability to multitask.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Meticulous attention to detail and high level of accuracy.
  • Ability to work independently and as part of a team.
  • Strong problem-solving abilities and a proactive approach.
  • Understanding of basic procurement principles and practices.

Preferred Qualifications

  • A degree or diploma in Business Administration, Supply Chain Management, or a related field.
  • Experience with procurement software or ERP systems (e.g., SAP, Oracle, NetSuite).
  • CIPS (Chartered Institute of Procurement & Supply) qualification or working towards one.
  • Experience working with a diverse range of suppliers.
  • Knowledge of Scottish business regulations and local supplier networks.
