Beyond rentals, a significant portion of your role will focus on proactive and reactive maintenance management. You will be responsible for coordinating with a network of trusted contractors to schedule routine inspections, emergency repairs, and planned preventative maintenance works, always adhering to budget constraints and regulatory standards. Effective communication will be key, keeping landlords fully informed of property status and repair progress, while simultaneously resolving tenant maintenance requests efficiently and professionally.

Key Responsibilities

  • Manage a portfolio of rental properties, ensuring high occupancy rates and tenant satisfaction.
  • Oversee the entire rental process from marketing and viewings to tenant screening, lease signing, and move-in.
  • Handle rent collection, arrears management, and deposit administration in accordance with legal requirements.
  • Coordinate and manage all aspects of property maintenance, including routine inspections, repairs, and preventative maintenance.
  • Liaise effectively with tenants, landlords, and contractors to resolve maintenance issues promptly and professionally.
  • Conduct regular property inspections to identify and address maintenance needs, ensuring properties meet safety and quality standards.
  • Prepare and manage property budgets, tracking expenses and providing regular financial reports to landlords.
  • Ensure full compliance with all relevant housing legislation, health and safety regulations, and Scottish letting agent standards.
  • Mediate tenant disputes and handle complaints efficiently, striving for amicable resolutions.
  • Maintain accurate and up-to-date property records, including leases, maintenance logs, and financial statements.

Required Skills

  • Proven experience as a Property Manager, particularly with rentals and maintenance.
  • Strong understanding of Scottish housing legislation and letting regulations.
  • Excellent communication, negotiation, and interpersonal skills.
  • Exceptional organizational abilities and attention to detail.
  • Proficiency in property management software (e.g., Alto, Reapit, Arthur Online).
  • Ability to manage budgets and financial reporting for properties.
  • Strong problem-solving skills and ability to make decisions under pressure.
  • Valid UK driving license and access to a vehicle.

Preferred Qualifications

  • Relevant professional qualification (e.g., ARLA Propertymark, CIH).
  • Experience with commercial property management in addition to residential.
  • Local knowledge of the Glasgow property market.
  • Bachelor's degree in Real Estate, Business Administration, or a related field.
