Key Responsibilities
- Manage and organize incoming and outgoing mail, emails, and phone calls related to transportation operations.
- Maintain accurate and up-to-date transportation records, including driver logs, vehicle maintenance, and shipment documentation.
- Assist with scheduling and dispatching coordination, communicating with drivers regarding routes, deliveries, and pickups.
- Process invoices, track expenses, and manage petty cash for the transportation department.
- Prepare various reports and summaries, including mileage reports, fuel consumption, and delivery statuses.
- Communicate professionally with drivers, vendors, clients, and internal staff to resolve inquiries and ensure smooth operations.
- Order and maintain office supplies inventory for the transportation department.
- Perform general administrative tasks such as data entry, filing, scanning, and photocopying.
- Support the transportation management team with special projects and other duties as assigned.
Required Skills
- High school diploma or GED equivalent.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication abilities.
- Ability to multitask, prioritize tasks effectively, and manage time efficiently.
