Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Handle email correspondence, drafting responses, organizing inboxes, and prioritizing communications to ensure timely and effective follow-up.
  • Prepare and edit documents, presentations, and reports, ensuring accuracy, professional formatting, and adherence to brand guidelines.
  • Conduct thorough research on various topics, compiling data and presenting findings in a clear, concise manner to support client decision-making.
  • Coordinate projects, tracking progress, managing deadlines, and communicating updates to relevant stakeholders.
  • Organize and maintain digital files and databases, implementing efficient systems for easy retrieval and secure storage.
  • Process expense reports, manage invoices, and assist with basic bookkeeping tasks as required.
  • Plan and execute virtual and occasional in-person events, from small meetings to larger conferences, including logistics, invitations, and follow-up.
  • Act as a professional liaison between clients and their contacts, maintaining confidentiality and discretion at all times.
  • Proactively identify areas for improvement in administrative processes and propose innovative solutions to enhance efficiency.
  • Manage social media accounts and other online platforms, creating and scheduling content as directed.
  • Provide exceptional customer service and support, addressing inquiries and resolving issues promptly and professionally.

Required Skills

  • Minimum of 2 years of experience as a Personal Assistant, Executive Assistant, or Virtual Assistant in a remote setting.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Gmail, Calendar).
