Job Description

Hiring.zycto is seeking a highly motivated and detail-oriented Record Label A&R Coordinator to join our vibrant team in Philadelphia. This pivotal role supports our A&R executives in all aspects of artist discovery, development, and project management, playing a crucial part in bringing new talent to the forefront of the music industry. You’ll be instrumental in the operational heartbeat of our A&R department, from managing demos and scouting reports to coordinating recording sessions and release schedules. Key Responsibilities

  • Manage and organize the extensive demo submission pipeline, meticulously logging and tracking potential artist submissions.
  • Conduct initial research and screening of prospective artists, compiling comprehensive reports for A&R executives.
  • Coordinate and schedule meetings, listening sessions, studio time, and other artist-related appointments.
  • Maintain up-to-date artist databases, contact lists, and project timelines.
  • Assist in the preparation of A&R budgets, expense reports, and contract documentation.
  • Liaise with artists, managers, producers, and internal departments (Marketing, Legal, Production) to ensure smooth project execution.
  • Support A&R executives during live showcases, industry events, and talent scouting trips, when necessary.
  • Stay current with music industry trends, emerging artists, and competitive landscape through various media and platforms.
  • Process invoices, travel arrangements, and other administrative tasks for the A&R team.

Required Skills

  • Bachelor’s degree in Music Business, Entertainment Management, or a related field.
  • Minimum of 2 years of administrative or coordinator experience within the music industry (record label, publishing, management company).
  • Exceptional organizational skills with a strong ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and strong familiarity with cloud-based collaboration tools.
  • Demonstrated passion for music across diverse genres and a keen understanding of current pop culture and music trends.
  • Excellent written and verbal communication skills.
  • Ability to maintain strict confidentiality and exercise discretion.
  • Strong interpersonal skills with the ability to build and maintain professional relationships.

Preferred Qualifications

  • Prior experience specifically within an A&R department.
  • Familiarity with project management software (e.g., Asana, Trello).
  • Basic knowledge of music rights, licensing, and publishing.
  • Experience attending live music events and evaluating talent.
