Key Responsibilities

  • Manage the entire listing process from initiation to close, ensuring all deadlines are met.
  • Input and maintain accurate property data in CRM and MLS systems, including descriptions, photos, and virtual tours.
  • Coordinate with photographers, stagers, and other vendors to prepare properties for market.
  • Prepare and distribute all listing documentation, including contracts, disclosures, and property feature sheets.
  • Create and disseminate marketing materials, including flyers, brochures, social media posts, and email campaigns.
  • Ensure full compliance with real estate board regulations, company policies, and legal requirements for all listings.
  • Serve as a primary point of contact for clients, agents, and third parties regarding listing status and inquiries.
  • Manage office supplies, organize files, and provide general administrative support to the team as needed.
  • Track and report on listing performance and market trends to support strategic decisions.

Required Skills

  • Minimum 2 years of administrative experience, preferably in real estate or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Demonstrated problem-solving abilities and a proactive attitude.
  • Familiarity with CRM software (e.g., Salesforce, Top Producer, or similar).

Preferred Qualifications

  • Experience with real estate specific software (e.g., MLS platforms, Skyslope, DotLoop).
  • Knowledge of local real estate market and listing procedures in British Columbia.
  • Background in marketing or graphic design for real estate collateral.
  • Prior experience as a Transaction Coordinator or Office Administrator in a real estate brokerage.
