As our Facilities Officer, you will be at the heart of our workplace, responsible for the day-to-day management of all facility services. Your primary focus will be to maintain a high standard of operational excellence, encompassing everything from preventative maintenance schedules and managing external contractors to ensuring compliance with health and safety regulations. You will be the go-to person for all facilities-related matters, acting as a crucial link between our staff and service providers. Key Responsibilities

  • Oversee the daily operations and maintenance of the facility, ensuring a safe, clean, and functional working environment.
  • Coordinate and supervise external contractors for repairs, maintenance, cleaning, and security services.
  • Implement and manage preventative maintenance programs for all building systems and equipment.
  • Ensure strict compliance with all health, safety, and environmental regulations (e.g., COSHH, fire safety, legionella).
  • Manage facilities-related budgets, track expenses, and identify cost-saving opportunities.
  • Respond promptly to facility requests and issues from employees, ensuring timely resolution.
  • Procure and manage inventory of office supplies, furniture, and facility equipment.
  • Support space planning and office moves, including desk arrangements and furniture installation.
  • Maintain accurate records of facility assets, maintenance activities, and safety inspections.
  • Develop and maintain strong relationships with vendors, negotiating contracts and ensuring service level agreements are met.

Required Skills

  • Proven experience in facilities management or a similar operational role.
  • Strong understanding of health, safety, and environmental regulations (e.g., IOSH, NEBOSH certification is a plus).
  • Excellent vendor management and negotiation skills.
  • Proficiency in using facilities management software and Microsoft Office Suite.
  • Exceptional problem-solving abilities and a proactive approach to issue resolution.
  • Strong communication and interpersonal skills, capable of interacting effectively at all levels.
  • Ability to manage multiple priorities and work effectively under pressure.
  • Demonstrated ability to manage budgets and control costs.
  • Valid UK driving license.

Preferred Qualifications

  • A relevant qualification in Facilities Management, Property Management, or a related field (e.g., IWFM membership).
  • Experience with sustainable building practices or energy management.
  • Knowledge of building management systems (BMS).
  • Previous experience in a corporate office environment.
