Key Responsibilities

  • Accurately process and verify employee timesheets, expense reports, and other payroll-related documentation with the utmost precision.
  • Assist in the preparation and processing of bi-weekly and monthly payrolls for a significant volume of government employees, ensuring timely and correct payments.
  • Ensure strict compliance with all relevant government legislation, regulations, and internal policies concerning payroll and taxation, including statutory deductions.
  • Respond promptly and professionally to employee inquiries regarding pay, deductions, benefits, and tax-related matters, providing clear, concise, and accurate information.
  • Maintain comprehensive and confidential payroll records, including new hires, terminations, changes in compensation, and benefits enrollments, adhering to data protection policies.
  • Assist with payroll reconciliation, internal auditing processes, and year-end reporting activities, preparing necessary reports and documentation for review.
  • Collaborate effectively with HR and finance departments to resolve discrepancies, streamline processes, and ensure seamless information flow.
  • Utilize payroll software and systems efficiently for data entry, report generation, system maintenance, and user support.
  • Identify and report any payroll anomalies, potential compliance issues, or areas for process improvement to senior management promptly.
  • Participate in ongoing training and professional development to stay current with evolving payroll regulations, best practices, and technological advancements.

Required Skills

  • Proven experience (1.5+ years) in a dedicated payroll or comprehensive administrative support role, ideally within a large-scale organization.
  • Exceptional attention to detail and a consistently high level of accuracy in data entry and processing.
  • Solid understanding of basic payroll principles, calculations, and statutory requirements.
  • Proficiency in Microsoft Office Suite, particularly Excel, for data analysis, reporting, and record-keeping.
  • Strong organizational and time management skills with the ability to handle multiple tasks, prioritise effectively, and meet strict deadlines.
  • Excellent communication skills, both written and verbal, for interacting professionally with employees and colleagues at all levels.
  • Demonstrated ability to maintain strict confidentiality and exercise discretion regarding sensitive employee and financial information.
  • A proactive, analytical, and problem-solving approach to daily tasks and unexpected challenges.

Preferred Qualifications

  • Direct experience specifically with government or public sector payroll processing.
  • Knowledge of large-scale payroll software such as SAP, Oracle, Workday, or similar enterprise systems.
  • A relevant qualification or certification in Accounting, Finance, Business Administration, or a related field (e.g., CIPP foundation).
  • Familiarity with Scottish and broader UK payroll regulations, taxation, and pension schemes.
