Job Description

Hiring.zycto is seeking a highly skilled, proactive, and discreet Personal Assistant to provide comprehensive administrative and executive support to our senior leadership team within the Executive Office. This pivotal role is essential to ensuring the smooth and efficient operation of the executive function, acting as a crucial interface between leadership, internal departments, and external stakeholders. You will be responsible for managing complex schedules, coordinating extensive travel arrangements, preparing detailed reports and presentations, and handling sensitive information with the utmost confidentiality. Key Responsibilities

  • Provide comprehensive administrative and secretarial support to senior executives, including calendar management, email correspondence, and meeting coordination.
  • Manage complex domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
  • Prepare, edit, and proofread confidential documents, reports, presentations, and correspondence.
  • Organise and facilitate executive meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Act as a primary point of contact for internal and external communications, screening calls and directing enquiries appropriately.
  • Conduct research, compile data, and prepare summaries for executive review.
  • Assist with personal tasks and errands as required by executives, maintaining strict confidentiality and professionalism.
  • Manage and reconcile expense reports, invoices, and other financial documentation.
  • Maintain organised physical and electronic filing systems.
  • Proactively identify and address potential issues, implementing solutions to ensure smooth executive operations.

Required Skills

  • Proven experience as a Personal Assistant or Executive Assistant supporting senior leadership.
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential information with integrity.
  • Strong attention to detail and accuracy.
  • Proactive approach to problem-solving and anticipating needs.
  • Ability to work independently and as part of a team in a dynamic environment.

Preferred Qualifications

  • Formal qualification in Business Administration, Secretarial Studies, or a related field.
  • Experience working within a recruitment or professional services environment.
  • Familiarity with CRM systems or project management software.
  • Experience in coordinating international travel and managing complex itineraries.
