Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner.
  • Schedule and confirm patient appointments, managing a dynamic calendar efficiently.
  • Answer and direct phone calls, take messages, and respond to inquiries with professionalism and clarity.
  • Register new patients and update existing patient information in the electronic health record (EHR) system.
  • Verify patient insurance information and assist with billing inquiries as needed.
  • Collect co-payments and outstanding balances at the time of service.
  • Maintain the waiting area, ensuring it remains tidy, welcoming, and organized.
  • Prepare patient charts and ensure all necessary documentation is available for appointments.
  • Handle incoming and outgoing mail, faxes, and other correspondence.
  • Maintain strict patient confidentiality in compliance with HIPAA and other relevant regulations.
  • Provide administrative support to medical staff as required, contributing to overall office efficiency.

Required Skills

  • High School Diploma or equivalent.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite).
  • Ability to multitask and prioritize in a fast-paced environment.
  • A positive attitude and a customer-service oriented approach.
  • Demonstrated ability to work effectively as part of a team.

Preferred Qualifications

  • Previous experience in a customer service or administrative role.
