Job Description

Key Responsibilities

  • Assist Project Managers in the planning, execution, and closing phases of construction projects.
  • Prepare and manage project documentation, including contracts, change orders, RFIs, submittals, and close-out documents.
  • Coordinate project meetings, prepare agendas, and distribute minutes to all relevant stakeholders.
  • Track project progress, schedules, and budgets, highlighting potential delays or cost overruns to the project team.
  • Liaise with clients, subcontractors, and suppliers to ensure timely communication and material delivery.
  • Facilitate permit applications and ensure compliance with local regulations and building codes.
  • Organize and maintain project files, both digital and physical, ensuring accuracy and accessibility.
  • Assist with the procurement process, including obtaining quotes, issuing purchase orders, and tracking material delivery.
  • Support site supervisors with administrative tasks and logistical coordination as required.
  • Monitor and report on safety compliance on job sites, assisting in the documentation of incidents or observations.

Required Skills

  • Proven experience (1-2 years) in a project coordination or administrative role within the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills with an ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Ability to read and interpret basic construction drawings and specifications.
  • Detail-oriented with a strong commitment to accuracy and data integrity.
  • Demonstrated ability to work collaboratively and effectively in a team environment.

Preferred Qualifications

  • Post-secondary education in Construction Management, Engineering, Architecture, or a related field.
  • Experience with project management software (e.g., Procore, Aconex, MS Project).
  • Basic understanding of construction accounting principles and invoicing processes.
  • Knowledge of local building codes and permitting processes in Toronto.
  • Valid G-class driver's license and access to a reliable vehicle.
