Key Responsibilities

  • Manage and maintain complex appointment schedules for multiple team members or departments, ensuring optimal utilization of time.
  • Respond to client inquiries via phone and email, scheduling, rescheduling, and confirming appointments efficiently and professionally.
  • Utilize scheduling software and CRM systems to accurately record and track all appointments and client interactions.
  • Prepare and distribute daily, weekly, and monthly appointment reports and summaries to relevant stakeholders.
  • Handle inbound and outbound communications related to scheduling, including sending reminders and follow-up messages.
  • Collaborate closely with internal teams to resolve scheduling conflicts and ensure smooth operational flow.
  • Maintain confidentiality of client information and appointment details at all times.
  • Assist with other administrative tasks as needed, contributing to the overall efficiency of the office.

Required Skills
