In this pivotal role, you will be instrumental in the precise and efficient management of our extensive commercial lease portfolio. You will be responsible for the full lifecycle of lease administration, from initial setup and abstraction to renewals, amendments, and terminations, ensuring strict adherence to lease agreements and corporate policies. You will become the go-to expert for interpreting complex lease clauses, performing accurate rent calculations, and meticulously reconciling common area maintenance (CAM), property taxes, and insurance charges. Your daily activities will involve significant data entry and verification within our advanced lease management software, ensuring the integrity and accuracy of our lease database, which is vital for reporting and strategic decision-making. Key Responsibilities

  • Abstract, interpret, and process commercial lease agreements, amendments, renewals, and terminations with high accuracy.
  • Maintain the integrity and accuracy of the lease administration database (e.g., Yardi, MRI) by ensuring all lease data is up-to-date and correctly entered.
  • Calculate and bill monthly tenant charges including base rent, percentage rent, common area maintenance (CAM), property taxes, and insurance.
  • Perform annual CAM, property tax, and insurance reconciliations for assigned properties, ensuring compliance with lease terms.
  • Review and approve tenant billings, rent rolls, and other related financial documents.
  • Respond to tenant inquiries regarding lease terms, charges, and reconciliations in a timely and professional manner.
  • Collaborate with property management, accounting, legal, and asset management teams to ensure seamless operations and resolve lease-related issues.
  • Assist in the preparation of annual budgets and reforecasts by providing accurate lease income data.
  • Generate various ad-hoc reports and analyses related to lease portfolio performance and occupancy.
  • Monitor critical lease dates and ensure timely execution of options, renewals, and expirations.
  • Assist with due diligence processes for property acquisitions and dispositions.

Required Skills

  • Minimum 4 years of experience in commercial lease administration.
  • Profound understanding of commercial lease documents, clauses, and real estate terminology.
  • Proficiency in lease administration software such as Yardi, MRI, or similar platforms.
  • Advanced Microsoft Excel skills for data analysis and reporting.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities and meet tight deadlines.
  • Demonstrated ability to work independently and as part of a team.

Preferred Qualifications

  • Post-secondary education in Business Administration, Finance, Real Estate, or a related field.
  • Experience managing a diverse portfolio of commercial properties (retail, office, industrial).
  • Familiarity with local real estate laws and regulations in Alberta.
  • Relevant industry certifications (e.g., RPA, FMA).
