Job Description

Hiring.zycto is urgently seeking a highly organized, proactive, and detail-oriented Secretary to join a prestigious firm located in the iconic Victory Building in downtown Toronto. This full-time, on-site role is critical to maintaining the smooth and efficient operation of a bustling office environment. As the first point of contact for many clients and colleagues, you will play a pivotal role in ensuring exceptional administrative support and fostering a professional atmosphere.

Your primary responsibilities will encompass managing comprehensive administrative tasks, including complex calendar management, scheduling meetings and appointments, coordinating travel arrangements, and preparing essential documents and presentations. You will be instrumental in handling incoming communications, both verbal and written, ensuring that all inquiries are directed appropriately and promptly addressed.

This position requires someone who can anticipate needs, solve problems proactively, and manage multiple priorities with grace under pressure. You will be responsible for maintaining organized filing systems, both digital and physical, managing office supplies, and ensuring the office space remains tidy and professional. Furthermore, you will assist with data entry, report generation, and other special projects as assigned, contributing directly to the team’s overall productivity and success.

Key Responsibilities

  • Manage and maintain complex calendars, schedule appointments, and coordinate meetings.
  • Prepare, edit, and format correspondence, reports, presentations, and other documents.
  • Handle incoming calls and emails, directing inquiries to the appropriate personnel and responding professionally.
  • Organize and maintain both physical and electronic filing systems, ensuring data integrity and accessibility.
  • Coordinate domestic and international travel arrangements and process expense reports.
  • Manage office supplies inventory, place orders, and ensure the office is well-stocked and tidy.
  • Assist with data entry, record-keeping, and general administrative support for various departments.
  • Serve as the primary point of contact for visitors, clients, and internal staff.
  • Undertake special projects and assignments as required to support business operations.

Required Skills

  • Proven experience as a Secretary, Administrative Assistant, or similar role (2+ years).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills with meticulous attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • High school diploma or equivalent.
