Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and conferences, and ensuring timely reminders.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Prepare and edit correspondence, reports, presentations, and other documents with high accuracy and discretion.
  • Act as a primary point of contact, liaising with internal and external stakeholders on behalf of executives.
  • Organize and maintain filing systems, both digital and physical, ensuring information is readily accessible and secure.
  • Process expense reports, invoices, and other financial documentation.
  • Plan and execute company events, meetings, and team activities.
  • Conduct research, compile data, and prepare summaries for executive review.
  • Anticipate needs and proactively bring together appropriate resources to support executives' agenda.
  • Maintain strict confidentiality of sensitive information and exercise sound judgment in all situations.

Required Skills

  • Minimum 5 years of experience as an Executive Assistant supporting senior leadership.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
  • Strong written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive problem-solving abilities and strong attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Post-secondary education in Business Administration or a related field.
  • Experience with project management tools or CRM software.
  • Familiarity with various virtual meeting platforms (e.g., Zoom, Microsoft Teams).
