Key Responsibilities
- Warmly greet and welcome visitors in English and French, directing them to the appropriate personnel.
- Manage a multi-line phone system, screening and forwarding calls, and taking messages accurately.
- Administer incoming and outgoing mail, deliveries, and courier services.
- Schedule and confirm appointments and meetings, maintaining calendars for relevant staff.
- Maintain the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary materials.
- Provide administrative support including data entry, filing, scanning, and document preparation.
- Assist with office supply inventory, ordering, and reconciliation.
- Handle basic inquiries and provide accurate information about the company to clients and visitors.
- Collaborate with various departments to ensure smooth information flow and operational efficiency.
Required Skills
- Fluency in both English and French (written and spoken).
- Proven experience as a Receptionist or Administrative Assistant (1-2 years).
