Job Description

Hiring.zycto is seeking a highly organized, detail-oriented, and compassionate Unit Clerk to join a dedicated healthcare team within a prominent hospital setting in West Hill, Toronto. As a pivotal member of the unit, you will play a crucial role in ensuring the smooth and efficient operation of the patient care area. In this essential role, you will be the front-line administrative support for the unit, responsible for a wide array of clerical and communication tasks. This includes accurately processing patient admissions, transfers, and discharges, ensuring all necessary documentation is complete and filed correctly. You will be instrumental in managing patient charts, both electronic and physical, ensuring data integrity and accessibility for healthcare professionals. A significant part of your day will involve scheduling various appointments, diagnostic tests, and procedures, requiring meticulous attention to detail and excellent coordination skills. You will act as a primary point of contact for patients, families, and inter-departmental staff, answering inquiries, directing calls, and providing information with professionalism and empathy.

Beyond administrative duties, the Unit Clerk’s role extends to maintaining unit supplies, initiating maintenance requests, and generally contributing to a safe and functional work environment. You will regularly communicate with physicians, nurses, and other allied health professionals, relaying critical information and facilitating seamless transitions in patient care. Key Responsibilities

  • Process patient admissions, transfers, and discharges accurately and efficiently.
  • Maintain and organize patient charts (electronic and paper), ensuring confidentiality and data integrity.
  • Schedule appointments, diagnostic tests, procedures, and consultations as directed by medical staff.
  • Answer telephones, direct calls, take messages, and provide information to patients, families, and staff.
  • Serve as a central point of communication for the nursing unit, liaising with various departments.
  • Order and maintain an adequate inventory of unit supplies and equipment.
  • Prepare and compile various reports, forms, and documents as required.
  • Assist nursing staff with non-clinical tasks to support patient care.
  • Maintain a clean, organized, and functional work environment at the nursing station.
  • Transcribe physician orders accurately and communicate them to the appropriate personnel.

Required Skills

  • High School Diploma or equivalent.
  • Minimum 1 year of administrative or clerical experience, preferably in a healthcare setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Strong communication and interpersonal skills, both written and verbal.
  • Ability to work effectively in a fast-paced, high-pressure environment.
  • Demonstrated ability to maintain confidentiality and adhere to privacy regulations (e.g., PHIPA).
  • Attention to detail and accuracy in data entry and documentation.

Preferred Qualifications

  • Post-secondary education in Medical Office Administration or a related field.
  • Experience with Electronic Medical Record (EMR) systems (e.g., EPIC, Meditech, Cerner).
  • Knowledge of medical terminology.
  • Previous experience as a Unit Clerk or Ward Clerk in a hospital environment.
