Hiring.zycto is excited to be recruiting on behalf of St. Paul’s Hospital, a vibrant and essential healthcare institution nestled in the heart of Vancouver. We are seeking a highly organized, creative, and detail-oriented Event Planner for a contract position to manage and execute a diverse range of hospital events. This role offers a unique opportunity to contribute to the hospital’s mission, foster community relations, and support critical fundraising and educational initiatives through impeccably planned events.
As our Event Planner, you will be instrumental in conceptualizing, planning, and executing events that range from intimate donor receptions and stakeholder meetings to large-scale public awareness campaigns, educational seminars, and fundraising galas. Your work will directly support St. Paul’s Hospital’s strategic goals, enhance its public image, and ensure vital resources for patient care, research, and medical education. You will be responsible for the entire event lifecycle, from initial concept development and budget management to vendor negotiation, logistical coordination, and post-event analysis. Key Responsibilities
- Lead the planning, coordination, and execution of various hospital events, including fundraisers, educational workshops, conferences, and stakeholder engagement activities.
- Develop comprehensive event proposals, including detailed timelines, budgets, staffing plans, and logistical requirements.
- Manage all aspects of vendor relationships, from selection and negotiation to contract management and on-site coordination.
- Oversee event marketing and communications, working with internal teams to promote events and ensure strong attendance.
- Ensure all events comply with hospital policies, health and safety regulations, and relevant accessibility standards.
- Conduct post-event evaluations, gathering feedback and preparing reports on event effectiveness, attendance, and financial outcomes.
- Collaborate with internal departments (e.g., Marketing, Communications, Philanthropy, Medical Staff) to align event objectives with overall hospital goals.
- Manage event budgets, track expenses, and ensure events are executed within financial parameters.
- Coordinate on-site event operations, including setup, registration, speaker management, and attendee flow.
Required Skills
- Minimum 3 years of progressive experience in event planning and execution.
- Proven ability to manage multiple projects and deadlines simultaneously.
- Exceptional organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in event management software and Microsoft Office Suite.
- Demonstrated experience in budget management and vendor negotiation.
- Ability to work collaboratively in a team environment and autonomously when required.
- Excellent problem-solving skills and ability to adapt to changing circumstances.
Preferred Qualifications
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
- Experience planning events within a healthcare, non-profit, or institutional setting.
- Certified Meeting Professional (CMP) designation or equivalent.
- Familiarity with Vancouver's event venues and vendor landscape.
- Experience with CRM systems and event registration platforms.
