Key Responsibilities

  • Greet and welcome visitors in a warm, professional, and friendly manner, directing them appropriately.
  • Answer, screen, and forward incoming phone calls promptly and courteously, managing a multi-line system.
  • Manage and maintain a tidy, organized, and presentable reception area, ensuring all necessary supplies are stocked and readily available.
  • Receive, sort, and distribute daily mail, deliveries, and courier packages with accuracy and efficiency.
  • Schedule and confirm appointments, meetings, and conference room bookings, managing calendar conflicts effectively.
  • Provide general administrative and clerical support to various departments, including data entry, filing, photocopying, and document preparation.
  • Handle inquiries from clients and visitors, providing accurate information or redirecting as necessary, demonstrating excellent problem-solving skills.
  • Assist with the coordination of office events and staff meetings, including setup, catering arrangements, and logistical support.
  • Maintain security by following established procedures, monitoring visitor logbooks, and issuing visitor badges.
  • Order and maintain office supplies inventory, liaising effectively with vendors and ensuring cost-efficiency.
  • Perform other ad-hoc administrative duties to support the efficient and smooth operation of the office as required.

Required Skills

  • Proven work experience (minimum 1 year) as a Receptionist, Front Office Representative, or similar client-facing administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software.
  • Solid written and verbal communication skills, with a clear and professional telephone manner.
  • Excellent organizational and time management abilities, with a proven capacity to prioritize tasks effectively.
  • Ability to be resourceful and proactive when issues arise, demonstrating initiative and problem-solving capabilities.
  • Strong customer service oriented approach with a professional, friendly, and approachable attitude.
  • High degree of accuracy and meticulous attention to detail in all tasks.

Preferred Qualifications

  • High school diploma or equivalent; relevant certification or a degree in Business Administration or Hospitality is a distinct plus.
  • Experience with cloud-based CRM systems or office management software.
  • Familiarity with office management procedures and a good understanding of health and safety guidelines.
  • Knowledge of the local Edinburgh area for visitor assistance and recommendations.
